Role Overview
The Fractional Controller supports FFS client engagements by owning day-to-day accounting operations, close management, and financial hygiene for small and growing companies. This role is execution-focused and detail-oriented, ensuring accurate books, timely reporting, and strong internal discipline while escalating judgment calls, policy questions, and complex issues to the Fractional CFO.
This role does not set financial strategy or provide executive-level advisory, but is critical to building reliable financial infrastructure that enables CFO-level insight.
Core Responsibilities
Accounting & Close Management

Own monthly and quarterly close processes for assigned FFS clients

Review and oversee bookkeeping accuracy, including general ledger activity, bank and credit card reconciliations, and accruals

Prepare and review standard journal entries (accruals, deferrals, payroll, equity-related entries with guidance)

Ensure timely, accurate financial statements (Income Statement, Balance Sheet, Cash Flow where applicable)

Maintain close checklists, schedules, and supporting documentation
Financial Reporting & Internal Controls

Prepare management-ready financial reporting packages in accordance with FFS standards
-
Ensure balance sheet integrity and proper support for all accounts

Maintain schedules for prepaid expenses, fixed assets, debt, and equity tracking (execution only)

Support and help enforce internal controls, approval workflows, and documentation standards

Identify and escalate inconsistencies, risks, or unusual activity to FFS leadership
Purchase Orders & Vendor Invoice Oversight

Oversee the issuance, tracking, and reconciliation of purchase orders (POs) in accordance with client approval policies

Review vendor invoices against approved POs, contracts, and supporting documentation

Ensure vendor invoices are accurately coded, accrued, and recorded in the general ledger

Monitor open POs and vendor commitments to support accurate period-end accruals
-
Coordinate with client teams, Office Managers, or AP resources to resolve invoice discrepancies
-
Maintain organized vendor files, W-9s, and documentation required for audit, tax, and compliance
-
Escalate contract interpretation or scope issues to the Fractional CFO or client leadership as appropriate
Payroll, AP & AR Oversight (Non-Transactional)

Oversee payroll accounting and related reconciliations

Oversee AP processes, including PO-based invoice workflows and vendor compliance with billing requirements

Review AP aging reports and flag issues or risks
-
Ensure consistent expense classification and adherence to company policy

Coordinate with bill-pay tools, AP platforms, payroll providers, and expense systems
Client Accounting Oversight

Serve as the primary accounting execution lead for assigned FFS clients

Coordinate with client-side bookkeepers, administrators, or external vendors as applicable

Ensure proper setup and maintenance of accounting systems (primarily QuickBooks Online or Xero)
-
Support audits, tax filings, and investor diligence through clean schedules and documentation
Support to Fractional CFO (FFS)

Surface issues requiring judgment, accounting policy decisions, or restructuring
-
Support budgeting, forecasting, and board reporting with accurate historical data
-
Assist with ad hoc financial analysis as requested

Maintain clear delineation and handoffs between Controller and CFO responsibilities
Required Qualifications

5+ years of accounting experience, including Controller-level responsibility for small companies
-
Strong command of GAAP fundamentals and close mechanics
-
Hands-on experience with QuickBooks Online
-
Experience supporting startups or small operating companies
-
Strong reconciliation, documentation, and issue-spotting skills

Ability to manage multiple clients in a fractional or outsourced environment

Excellent written communication and follow-through
Preferred Qualifications

Experience in biotech, medtech, SaaS, or professional services

Prior experience in a fractional, outsourced, or consulting model
-
Familiarity with equity accounting basics (options, SAFEs, convertible notes — execution only)

Experience supporting audits, reviews, or investor diligence

CPA or CPA-track (not required)
